Compensation: $22.00 – $28.00 / hour (Based on experience)

About REEgen

REEgen is a fast-growing, mission-driven deep-tech startup spun out from research that originated at Cornell University. We use cutting-edge biology to produce cost-effective, low-impact solutions for recovering rare earth elements and other critical minerals from industrial byproducts. The resulting minerals are crucial for enabling advanced energy and defense applications in solar, wind, EVs, radar, aircraft engines, and stealth technologies.

We are looking for a tech-savvy, highly organized Administrative & Operations Assistant to provide organizational support to REEgen. If you love bringing order to chaos, learning new software, and making sure the trains run on time, we want you on our team.

The Role

This is not a strictly desk-bound clerical job. You will be on-site in our Ithaca lab and office space, working directly with our executive and technical teams. You will handle everything from staging financial invoices and chasing vendor quotes to receiving heavy lab equipment and scheduling social media posts.

For the right person, this 20-hour-a-week position is a launchpad. As REEgen secures additional funding and scales over the next year, this position is designed to evolve into a full-time Operations Manager or Chief of Staff role.

What You Will Do

  • Finance & Procurement: Use QuickBooks to track expenses, match receipts, and stage invoices for executive approval. Chase vendors for equipment quotes, issue Purchase Orders (POs), and match packing slips to incoming lab shipments.

  • Operations & IT Logistics: Handle employee onboarding processes, order office and lab supplies, and manage basic software administration.

  • Communications Support: Work with the Director of Communication as needed to maintain our CRM and contact lists, monitor social media engagement and news mentions, and add new content to our website.

  • Administrative Support: Coordinate the management, organization, and routing of essential documents, with an emphasis on keeping information current and secure.

  • Scheduling and Site Visit Support: Ensure site visits from our partners, investors, and prospective hires run smoothly by scheduling meetings, interviews, tours, and travel bookings.

What We Are Looking For

  • Tech-Savvy & Adaptable: You pick up new software quickly, and can use AI tools effectively while managing their faults. Familiarity with QuickBooks is highly preferred.  Experience with project management tools, CRMs, or cloud-based systems is a massive plus.

  • Hyper-Organized: You don't let details slip through the cracks. You know how to track a piece of equipment from the moment it is quoted to the moment it arrives on the loading dock.

  • A Practical Problem Solver: You don't wait to be told exactly how to do something. If a process is broken or inefficient, you can implement a better approach.

  • Mission-Driven: You are excited to work in a hardware/materials startup environment and are energized by the prospect of growing alongside a rapidly scaling company.
